„Departure tomorrow at 11, the new ones arrive at 3, there are 4 of them, add a cot — and let me know if there is any bed linen left." Recognise yourself? Coordinating the cleaning is the most annoying routine of renting out: the same messages over and over and, now and then, a disaster when someone does not read something. And yet you already have all the data — in the bookings. All you have to do is let the cleaner at it.
Just not all of it. There are three things around the cleaning that cost more than a spoiled arrival: what the cleaner sees of the guests' data, on what contract they work for you, and what happens to a forgotten bag.
What to do
- Set up her own login for every cleaner, never a shared password (Art. 32 of the GDPR)
- Go through the instructions and the report categories: no guest's name, document number or price
- With your own cleaner sign a confidentiality undertaking, with an external firm a processing agreement under Art. 28 of the GDPR — an addendum is enough, electronically too
- Before the first cleaning sort out the contract: an agreement to perform work, or an invoice from a self-employed person with a trade licence (field No. 58)
- Register both employees and agreement workers through the JMHZ before they first pick up a mop
- Set up the report categories and the equipment items, agree the procedure for finds
- Agree how long you keep reports with personal data (a name with a find, a photo of an item), and delete them once the find is resolved (Art. 5(1)(e) of the GDPR)
How it works
- 1THE TASKS CREATE THEMSELVES. From the bookings the app builds the cleaning plan: the day of departure, the check-out, by when it must be done (the next check-in), the number of the next guests. If a booking changes, the plan is rebuilt — the change is written into the cleaner's portal at once, you do not have to call or write anywhere.
- 1THE CLEANER HAS HER OWN PORTAL. A page on the phone, her own login, no installation: today's cleanings at the top, the following days below. She sees the times, the apartment, the number of people and the instructions — not prices, not guests' contacts.
- 1REPORTS INSTEAD OF PHONE CALLS. With each cleaning she clicks it done and reports the state in the categories you set up YOURSELF — linen (running out/gone), cleaning products, technical condition, guests' forgotten items. You get a notification only when there is something to deal with.
- 1EQUIPMENT TAILORED TO THE BOOKING. Requests can be attached to the task according to the next booking: a cot for a family with a small child, extra bed linen for 6 people, towels — the cleaner sees them in advance, not only on the spot.
The report categories and their levels, the equipment items to be „ordered" and one-off instructions („the guest is leaving earlier") are all configurable — write them briefly and without the guest's name and phone number.
Who may enter the portal and what to sign
Your own cleaner is not a processor. She is a person acting under your authority within the meaning of Art. 29 of the GDPR, who may process data „only on instructions from the controller". A comprehensible instruction and a signed confidentiality undertaking are enough — her own login and written instruction are precisely the measure Art. 32(4) of the GDPR asks for.
An external firm is a different case. It gets the same access, but legally it is a processor under Art. 4(8) of the GDPR. You may use „only processors providing sufficient guarantees" (Art. 28(1)) and the contract must set out the subject-matter and duration of the processing, its nature and purpose, the type of data and the categories of data subjects (para. 3) and be in writing; electronic form counts (para. 9). An addendum to the cleaning contract is enough.
Forgotten items: the report is only the beginning
The law has its own script for a find: it holds that „everyone wants to keep their property and that a found thing is not abandoned" (§ 1051 of Act No. 89/2012 Coll.).
- 1The cleaner reports the item and puts it aside.
- 2You contact the guest — you have the contact details in the booking, the cleaner does not. The thing is returned to the one who lost it (§ 1052(1)).
- 3If the owner cannot be determined, you report the find to the municipality without undue delay, generally within 3 days (§ 1052(2)).
- 4After 1 year from the announcement the thing may be dealt with as an honest holder, after 3 years ownership is acquired (§ 1057).
What contract for the cleaner
AN AGREEMENT TO PERFORM WORK. At most 300 hours a year with one employer, compulsorily in writing (§ 75 of Act No. 262/2006 Coll.). The decisive amount for participation in insurance is, from 1. 1. 2026, exactly CZK 12,000 a month (Notice of the Ministry of Labour and Social Affairs No. 396/2025 Coll.); up to CZK 11,999 neither social nor health insurance is paid.
A SELF-EMPLOYED PERSON ON AN INVOICE. She needs an unqualified trade, field No. 58 „Purchase, sale, administration and maintenance of real estate" (Annex No. 4 to Government Regulation No. 278/2008 Coll.) — cleaning flats is within its scope. Regular cleaning according to your instructions, at a time and place you determine, however, has the marks of dependent work (§ 2(1) of the Labour Code): without an agreement or a contract it is illegal work (§ 5(e) point 1 of Act No. 435/2004 Coll.).
A FOREIGN CLEANER. Citizens of the EU, the EEA and Switzerland need no work permit, but report their start — from 1. 4. 2026 the reporting of the start of work by foreign nationals goes through the JMHZ (§ 19 of Act No. 323/2025 Coll.). A person from a third country without a work authorisation = illegal work (§ 5(e) point 2) with the same fines. From 1. 10. 2025 there is moreover the offence of „unreported work" for foreign nationals (§ 5(j)) of up to CZK 3,000,000; if you report it within 5 days of the work starting and no inspection has come in the meantime, it is not punished.
Tips from practice
- A cancelled stay = a vanished task, no „oh, I forgot to write to you". Completed cleanings and reports stay in the app, so you can return to them later — how long you keep reports with personal data you decide yourself, by the rule from the checklist above.
- Mark same-day changeovers (for example a departure at 11:00 and an arrival at 15:00) as a priority. No regulation sets these times — they follow from the accommodation rules and from the accommodation contract (§ 2326 of Act No. 89/2012 Coll.); set them so that the cleaning fits in.
- Agree the rule „you report only what is not in order". Photos of defects save arguing — just make sure there is no document or guest's belonging in the shot.
- Plan the tasks only after the check-out. You are liable for damage to things brought in by the guest — including damage caused by the cleaner (§ 2946 of Act No. 89/2012 Coll.). Compensation is limited to a hundred times the price of the accommodation for one day (§ 2948); the limit falls away for things in safekeeping and where the host is at fault; the liability does not extend to vehicles and things in them (§ 2947). Enter the unit during the guest's stay only exceptionally and with the guest's knowledge.
The most common mistakes and myths
- „An external firm gets access like anyone else and I do not deal with anything further." — Legally no: it is a processor (Art. 4(8) of the GDPR) and you need a written contract under Art. 28.
- „The cleaner comes for a few hours a month, no paperwork is needed." — It is. The agreement to perform work must be in writing and from 1. 7. 2026 it is registered before the start through the JMHZ, otherwise a fine of up to CZK 100,000.
- „If she invoices as a self-employed person, I am in the clear." — Not if she works at a time and place set by your instructions. What decides is the substance of the relationship, not the stamp on the invoice.
- „I will throw a forgotten item away after a month." — You may not. A found thing is not abandoned (§ 1051), and an owner who cannot be traced means a report to the municipality.
- „A check-out at 11:00 and a check-in at 15:00 are set by law." — They are not, they are contractual.
