Guest reporting and statutory duties

What is UbyPort and who has to use it?

UbyPort is the Foreign Police system for reporting accommodated foreign nationals. The duty applies to every host, including the owner of a single flat on Airbnb. The report must go out within three days of the guest’s arrival. Ubyo compiles it from the check-in and sends it for you.

Do I have to report Czech guests too?

Czech guests are not reported to UbyPort. They do, however, go into the guest register for the municipality and count towards the tourist tax. Ubyo keeps both automatically from the reservation.

What if a guest does not fill in the check-in?

The reservation shows the status “Not filled in”, and the day before arrival Ubyo reminds the guest again. You can always add the details by hand, for example from their ID when you hand over the keys.

Can I move over from another app or from Excel?

Yes. Reservations are loaded from iCal calendars, and we will help you import your existing guest register so the archive stays continuous. Write to us.

Pricing and payments

How does the trial work?

After registering you get 7 days free on the full Pro plan. If that is not enough, we will extend it by another 7 days, up to 14 days in total. You do not enter a payment card and start paying only when the trial ends.

How many apartments can I have?

As many as you like. The price is per apartment and month, with a 20 % discount from the fifth apartment on. For ten or more we agree on an individual price.

What exactly am I paying for?

For every apartment you keep in Ubyo. From the fifth apartment there is a 20 % discount, and for ten or more we agree on an individual price.

How does annual payment work?

Paying a year ahead gets you the Pro plan with a 20 % discount: CZK 349 instead of CZK 436 per apartment and month. Basic costs CZK 179 either way. An apartment added during the year is charged pro rata.

Can I switch from Pro to Basic?

Yes, at any time. The data from the Pro-only parts (energy, cleaning, invoicing) is not lost — it is only hidden until you come back to Pro.

What if I am not VAT-registered?

The prices shown are final and include VAT. You get a tax document with every payment.

What does assistance beyond the app cost?

Help with guest requests and correcting or exporting data is in the app and included in the price. Work beyond the app under the Data Processing Agreement (individual extracts, assistance during an audit or an inspection at your place, handling requests by hand) is charged at CZK 1,200 excl. VAT for every hour started; we estimate the scope in advance and you confirm it.
